Job Summary: The Administrative Assistant performs routine clerical tasks, answering telephones, processing the mail, and additional clerical duties. Schedule: Monday through Friday 8:00a.m. - 4:30p.m. Essential Duties & Responsibilities: * Processing and logging incoming mail. * Maintain log tracking incoming mail to our physical location either directly or from other facilities that should be going directly to our lockbox or resolved within certain operational processes. * Ensure all mail is logged same day as received. Based on directives, forward mail to the lockbox or distribute to specific areas. * For mail that should have been sent to the lockbox address, contact sender and request correspondence be redirected in the future. * Continue notifications if additional mail is received by sender; escalate to management if no change is made after 2nd request. * Provide status updates to management on a weekly basis in requested format. Assist with identification of patient addresses for returned refund checks according to established procedures. * Return Mail -- Handle according to established procedures, update billing system with new addresses. * Assist with coordination of meetings; agenda, logistics of ensuring the facilities are prepared for type of meeting. * Prepare meeting agendas & recap/summary of notes from meetings. * Coordinate preparation of meetings handouts, coordination of meeting logistics * Assist with printing/mailing letters generated by AR Follow up activity, and other departments as needed. * Assists with other related clerical duties such as photocopying, faxing, filing and collating. * Log all incoming faxes and distribute to the appropriate department. * In coordination with management, determine if faxes should be routed to other areas based on protocols and notify sender on future routing. * Provide updates to management on a weekly basis. * Assists in the ordering, receiving, stocking and distribution of office supplies. * Provides callers with information such as company address, location, fax numbers and other related information. * Answer phones in specific areas and route calls to appropriate areas according to direction from management team. * Maintain log of incoming calls. * Report volume and reason for calls to designated management team. * Composes types and edits correspondence, reports, memoranda and other material. * Performs independent research and prepares information for special reports, gathering and summarizing data. * Promptly and courteously answers telephone calls. Provides effective and efficient assistance to callers and distributes messages as necessary. * Other duties as assigned. Minimum Qualifications Education and Experience: * Professional, with exceptional customer service skills and the ability to maintain confidentiality. * Tactful demeanor, courteous and helpful. * Ability to answer and transfer calls, utilize various office equipment (scanner, copier, postage machine) * Prioritize, organize and the ability to file accurately. * Time management skills. * Ability to handle moderately complex assignments under minimal supervision. * Proficient computer skills in Microsoft Office, including Outlook, MS Word, Excel and PowerPoint. * Ability to perform basic math functions. * Strong verbal and written communication skills. * Ability to excel with change and respond appropriately even in challenging situations. * The above knowledge, skills and abilities may be demonstrated by a high school diploma and one to two years of previous administrative experience. * Must be able to work effectively both independently and with others. Quality Standards: * Communicates, cooperates, and consistently functions professionally and harmoniously with all levels of supervision, co-workers, patients, visitors, and vendors. * Maintains CEUs and licensing as needed in order to maintain a high level of skill in technical capabilities. * Follows OSHA regulations, RadNet and site protocols, policies and procedures. * Follows HIPAA, compliance, privacy, safety and confidentiality standards at all times. * Practices universal safety precautions. * Promotes good public relations on the phone and in person. * Adapts and is willing to learn new tasks, methods and systems. Physical Demands: This position often requires sitting, standing, walking, bending, twisting, reaching with hands and arms, using hands and fingers, handling or palpating, speaking, listening, and high-level cognition. Also, must be able to lift over 50 pounds, occasionally. All employees are to assist and participate as members of a lift assistance team (for special accommodation patients or any patient requiring assistance onto a table or equipment placement) to initiate or complete an exam or procedure. Working Environment: Technologists work in an outpatient medical office setting with low to moderate noise level.
